Administration and Finance Officer (Part-Time)

Europe is experiencing exciting and challenging times. Digital tools and technologies are ever-more shaping our daily lives and transforming different sectors. The European DIGITAL SME Alliance is tasked to represent and support the main driver of such changes in Europe – small and medium-sized enterprises (SMEs) in the ICT sector. Representing over 45,000 SMEs through its national and regional member associations, DIGITAL SME is Europe’s first and largest ICT SME association. Along with the rapid acceleration of Europe’s digital transformation, the Alliance is growing. It needs a highly motivated and hands-on Administration and Finance Officer to strengthen our Brussels-based team!

The selected candidate will manage the administration and bookkeeping of the Organisation, with a specific focus on the financial reporting of a variety of EU-funded projects, such as Horizon Europe, Erasmus+, EC grants and service contracts, etc.

The successful candidate will be a self-starter able to manage various tasks. A demonstrable track record of previous experience in EU project financial reporting is required.

 

Your role and responsibilities

  • Responsible for the Organisation’s daily bookkeeping: manage incoming and outgoing invoices, execute payments, etc
  • Collect membership fees
  • Gather, prepare and dispatch projects-related documentation (Declarations on Honour, Power of Attorney, tax and social security certificates, etc.)
  • Responsible for the accurate and timely financial reporting of a variety of EU Projects
  • Responsible for the accurate review and follow up of budget and expenses, in collaboration with the Office and HR Manager
  • Responsible for the accurate and timely filing and archiving of financial documents
  • Act as the main point of contact during audits
  • General administrative support (travel arrangement, office purchases, etc.)

Requirements:

  • At least 3 years of experience with EU-funded projects reporting
  • Proficient in MS Office, especially Excel
  • Proven ability to manage and oversee project budgets,
  • Completed higher education diploma
  • Fluency in English
  • Attention to detail
  • A can-do attitude and strong motivation, topped with an ability to self-start and implement new tasks and initiatives
  • Strong organisational skills and good time management
  • Legally eligible to work in Belgium

Desirable skills

  • Previous experience in a membership-based organisation
  • Experience of Belgian non-for-profit legal framework
  • Good understanding of EU policies and institutions
  • Fluency in other European languages, especially Italian, French or German.

Work Conditions

As our Administration and Finance Officer, you will be part of a young, international, and dynamic team. Our office is in the heart of the EU district in Brussels, easily accessible by public transportation. Since the pandemic, we have established a hybrid work model, where the team works partly from the office, partly remotely. Flexible working hours are also part of the deal – the Alliance’s organisational culture is result- rather than control-driven.

This is a part-time, permanent position, depending on your experience and availability, for a 24 to 32 hours per week arrangement. We offer a competitive salary package in line with your skills and level of experience.

Short missions abroad within the EU will be possible in the foreseeable future (depending on the situation around COVID-19).
