Europe is experiencing exciting and challenging times. Digital tools and technologies are ever-more shaping our daily lives and transforming different sectors. The European DIGITAL SME Alliance is tasked to represent and support the main driver of such changes in Europe – small and medium-sized enterprises (SMEs) in the ICT sector. Representing over 45,000 SMEs through its national and regional member associations, DIGITAL SME is Europe’s first and largest ICT SME association. Along with the rapid acceleration of Europe’s digital transformation, the Alliance is growing and in need of a highly motivated Office Assistant to strengthen our Brussels-based team!
Your role and Responsibilities:
We are looking for an Office Assistant to join our team and support the daily operations of our office. You will work closely with senior colleagues to ensure the office runs smoothly and efficiently, and following positive evaluations, your areas of responsibility will be gradually extended.
As the ideal candidate, you are a self-starter, able to take initiative and handle a wide variety of tasks, such as:
- Serve as the point of contact for office-related inquiries, welcome visitors, answer the phone;
- Book and coordinate travels;
- Schedule meetings and appointments and manage calendars for the Secretary General;
- Support the administrative and financial aspects of EU-funded projects;
- Prepare expense reports and support bookkeeping activities;
- Organize the office layout and order stationery, equipment, and supplies as needed;
- Maintain the office condition and arrange necessary repairs and maintenance;
- Support the IT Specialist and senior staff with IT equipment and software issues;
- Provide general administrative support to the Secretary General and the team;
- Support the planning and organisation of office events, activities, and celebrations.
Qualifications, skills and knowledge:
- Keen interest in office administration and coordination;
- Ability to work in a hands-on, autonomous manner and establish good relationships with all the members of the team;
- Proficiency in MS Office, especially in Excel, good computer literacy;
- Excellent communication and interpersonal skills;
- Attention to detail and problem-solving skills
- Fluent in English and French; other European languages are a plus;
- Able to learn and take responsibility quickly and proactively;
- Sense of humour!
- Legally eligible to work in Belgium.

Work Conditions
As an Office Assistant you will be part of a dynamic and growing international team. The office is located at the heart of the EU district in Brussels, easily accessible by public transport. Since the pandemic, we have established a hybrid work model, where the team works partly from the office, partly remotely. Flexible working hours are also part of the deal – the Alliance’s organisational culture is result- rather than control-driven.
We offer a full-time, permanent contract and a competitive salary package in line with your skills and level of experience.
